One of the most important part of operation of BIS license is maintenance of records. These may be testing records, production related records, equipment calibration and keeping the details of key personnel up-to-date.
Record Keeping of Testing & Calibration
It is important to note that a BIS licensee is required to maintain in-house testing records or SIT (Scheme of Inspection and Testing) records as per the frequencies specified in the Product Manual.
In addition to this, one must always maintain valid calibration certificates of major test equipments of the in-house testing facility.
BIS Inspecting Officer including outsourced agency’s personnel will verify these records during Factory surveillance.
It becomes a common point for discrepancy report once the licensees do not comply with the above up-to-date records.
Keeping Personnel Details Up-to-Date
Whenever there is a change in manpower such as technical personnel details, the same must be updated in their manakonline portal login.
The quality in charge or technical in charge of the lab is a permanent employee of the firm. However, changes are allowed during the operation of the license at any point of time.
Submission of Reply & Compliance to Notice
BIS sends a communication through the manakonline communication window from time to time. This communication may be related to non conformity(failure) of sample, unsatisfactory performance(inspection), issuance of new amendments or revised Indian Standards etc.
A BIS Licensee must keep regular tab on such communications. You can check the communication window at least once a week to stay abreast of all such updates and notices.
Applying for Renewal of License
BIS Certification marks license is granted initially for 1 year. A licensee will need to apply for renewal before the expiry of their license. You can apply for 1 year, 2 year, 3 year or upto 5 year by paying the requisite marking fee and annual license fee along with the renewal application fee.
Whenever applying for renewal of your BIS license, you will need to submit Chartered Accountant certified previous year’s production quantity (monthwise) and approximate values.
The marking fee is dependent on this production data – it may be a calculated actual marking fee or a minimum marking fee, as applicable.
Other Maintenance Activities
Apart from the above regular activities, there are other situations that may arise during the operation of your license.
This includes shifting of factory premises, applying for additional variety for inclusion in the scope of your license, change in name of factory etc.
Implementation of amendments and revised IS along with compliance and reply to notice/letters received from your local BIS Branch Office are of paramount importance.
